Make sure you have a clear list of Terms and Conditions listed there so that they\u2019re aware of their rights and liabilities in case they need to cancel.<\/p>\n\n\n\n<p>Furthermore, add a link to these to every confirmation or reminder email you exchange with them. No stress, Gmail will notify you with a reminder to respond.&nbsp;<\/p>\n\n\n\n<p>Some of us like these reminders so much that we even turn up the frequency on how often we get them.<\/p>\n\n\n\n<p>So consider how your customers feel when they book a service with you two weeks in advance, get a vague appointment slot, but then hear nothing from you in the weeks leading up to the job, only to suddenly get an \u201con the way\u201d text 30 minutes before the appointment.&nbsp;<\/p>\n\n\n\n<p>Sending multiple reminders keeps customers informed and build trust, and can be particularly helpful when the tech&#8217;s on the way to the job. If your customer genuinely has a last-minute emergency, consider waiving the cancellation penalty or crediting it to them when they rebook.<\/p>\n\n\n\n<p><em>The goal should always be to maintain customer relationships, not burn bridges.&nbsp;<\/em><\/p>\n\n\n\n<p>With that being said\u2026<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>3. Expect the Unexpected! Have Communication Templates at the Ready<\/strong><\/h3>\n\n\n\n<p>Even with all the right measures in place to prevent a last-minute cancellation, no-shows happen. But just because a job gets canceled doesn\u2019t mean you can\u2019t get another one scheduled in its place. So when all else fails, have a plan ready.<\/p>\n\n\n\n<p>Getting a cancellation call an hour before a scheduled service can feel both disheartening and overwhelming. Maybe you had two hours blocked out for the job \u2014 so now what?<\/p>\n\n\n\n<p>We recommend creating a list of customers who need more immediate services and using this as a waiting list.&nbsp;<\/p>\n\n\n\n<p>You probably have clients call in to get a quote or have a job that needs scheduling ASAP. This way, you can offer a more comprehensive explanation and a genuine apology. If you aren\u2019t able to get in touch this way, though, leave a brief message and make sure to tell them you\u2019ll be following up with an email.<\/p>\n\n\n\n<p>Send your follow-up email as soon as possible, as they will now be expecting to hear from you. Our best advice is to make it clear that this is an unusual situation and not something that regularly happens.<\/p>\n\n\n\n<p>Be the bigger person and take responsibility for the cancellation, even if it\u2019s due to factors outside of your control.&nbsp;<\/p>\n\n\n\n<p>Along with your apology for the inconvenience, it might be a good idea to include a small discount as well.
